* We do not accept requests by fax.
Usage Policy
Space throughout the hospital is a desirable commodity, and demands for the Conference Room have increased significantly since the library renovation. It became apparent to staff and faculty of the Health Sciences Libraries that a scheduling policy was needed. The following was developed by administration of the NYU Health Science Libraries to ensure scheduling efficiency and fair usage of the Conference Room.
The fair use policy does not apply to occasional scheduling, with exception to the maximum number of hours allowed for a single day (6). It only applies to those wishing to use the room for long-term, recurring events such as classes, presentations, and/or seminars.
Day Usage
- The maximum usage allowed on any given business day is 6 hours.
Weekly Usage
- Scheduling is limited to 12 hours per week. The requestor is not allowed to exceed the 6 hour limit on any of those given days.
- The maximum number of weeks allowed for an initial scheduling is 4. On the fourth week, the requestor will then be permitted to extend scheduling for one more week. This gives other departments a chance to book the room around that given time period.
- Please give at least TWO WEEKS’ notice for scheduling events. This enables library staff time to give other departments a heads-up notice via broadcast emails and postings.
Measures to Prevent Monopolizing
- The Library Conference Room may be used as a study in between scheduled events. Because the Conference Room is used so often for this purpose by frequent users, library staff will not reserve the room for anyone wishing to use it as a study. This does not mean staff will refuse scheduling for any group needing the room for important preparations, such as for Board exams, surgical rounds, or presentations.
- The HJD Library will no longer accept requests for permanent timeslots. This applies to all faculty, residents, fellows, support staff, and house staff. The permanently reserved timeslots already blocked out will remain.
- The Library staff has the right to refuse Conference Room access to anyone failing to comply with these guidelines.
Reservation Holding Time Limit
Room reservations will be held for one half-hour. After that, the reservation will be canceled for that day. Please be punctual.
